We are seeking a meticulous and efficient Personal Assistant to support our team in managing daily administrative tasks. The ideal candidate will be highly organised, possess excellent communication skills, and have a proactive approach to problem-solving.

Your main responsibilities will be:-

  • Manage and maintain multiple executive calendars, including recurring meetings, prioritising appropriately, and using good judgment in offering solutions to complex scheduling and meeting planning as needed.
  • Coordinate complex and multi-leg travel (accommodations, local transportation and passport/visa requirements). Proactively anticipate potential travel issues and handle accordingly.
  • Provide overall data management. Solicit needed data from multiple sources, organise and compile in formats to facilitate analysis and presentation. Establish, update and maintain files, inventories, records, etc., as necessary, including paper, electronic and other platforms as needed.
  • Proactively handle communication (emails, phone calls, necessary follow-up); screen telephone or email inquiries, communicate messages, redirect calls and respond to urgent enquiries.
  • Schedule and coordinate sophisticated meetings. This includes but is not limited to, attendee communications, venue management/coordination, audio/video set-up and management as needed, continual support for attendees, catering and program material preparation.
  • Record and transcribe meetings minutes ensuring a log of actions is completed and reviewed in a timely and accurate manner
  • Track and drive completion of key results, proactively following up on outstanding items as needed.
  • Research plan and co ordinate company events to enhance employee engagement to agreed budgets.
  • Provide exceptional attention to detail and proof reading of Company documents.
  • Anticipate potential changes or shifts in priorities amidst simultaneous demands for attention.
  • Contributes to the reputation of the Company through professional, friendly, and respectful interactions internally and externally.
  • Uphold the strictest confidentiality on information gleamed as part of responsibilities. Handle highly confidential information and documents with discretion and confidentiality.
  • Complete projects, special assignments, other tasks and duties as assigned.

The successful candidate will need to be:-

  • Able to coordinate multiple projects efficiently, effectively and to budget
  • Ability to prioritise and deal with ambiguity – must be flexible and able to commit the time required to get the job done
  • Comfort and ability to thrive in environments that may present multiple and simultaneous demands for attention; ability to prioritize effectively in these situations
  • Shown to be trusted to handle confidential and sensitive information with the ability to exercise discretion and show good judgment.
  • Excellent attention to detail and accuracy
  • Self-motivated, driven and proactive
  • Professional, approachable, and diplomatic in nature.
  • Proven track record of interacting effectively with varying levels in and outside the organisation in a demeanour that is representative of the leadership team.
  • Outstanding written and verbal communication and organisation skills
  • Ability to work flexibly and under pressure in a demanding environment. 
  • Demonstrated experience in working independently and within a team to identify, analyse, and solve problems with creative and successful solutions.
  • Creative and proactive mind with an ability to look for improvements and efficiencies and able to identify issues and solutions.
  • Shown expertise in Microsoft Office products, including Word, Excel, PowerPoint, Outlook and Teams. Willingness and ability to learn company-specific software or system tools.
